Entities

An Entity represents a single legal company or administration. All financial data, reports, and forecasts in Monitr are entity-scoped. One organisation can contain many entities.

Viewing entities

Go to Entities in the sidebar to see all entities in your organisation, along with:

  • Entity name and status
  • Connected integration
  • Last import status and timestamp
  • Quick access to trigger a manual import

Adding a new entity

  1. Go to Entities.
  2. Click the Add (plus) button at the bottom of the entities grid.
  3. An Add Entities panel opens on the right side of the screen. Select the accounting integration this entity uses from the Bookkeeping integration dropdown.
  4. Choose the specific administration from your accounting software.
  5. Click Add [number] Entities.

The new entity then goes through the standard four-step onboarding setup (dates, reporting structure, account mapping, dashboard).

Entity status

Entities have a status reflecting their operational state:

StatusMeaning
ActiveImporting data and available for all features
Not foundThe administration no longer exists in the accounting software
DeletedMarked for removal; no longer importing

Imports only run for Active entities.

Entity settings

Each entity has configurable settings accessible from the entity detail page:

SettingWhat it controls
Entity nameDisplay name in Monitr
CurrencyPrimary currency for reporting
Fiscal yearStart and end month of the financial year
Primary analytical axisThe dimension used for account mapping breakdowns
VAT settlement frequencyMonthly or quarterly (for VAT Cashflow module)

Switching entities

Use the entity selector dropdown in the top navigation bar to switch between entities. The selected entity persists in your browser session.

Multi-entity workflows

For organisations with many entities, use the Entities page as a control panel:

  • Trigger imports for all entities or specific ones
  • Monitor import health across the organisation
  • Identify entities with failed imports or outdated data

If you're on Premium, the Consolidation feature lets you produce reports across all entities combined.
