Running Imports

Monitr keeps your financial data up-to-date by regularly importing from your connected accounting software. Imports are fully automated, but you can also trigger them manually whenever you need fresh data.

How imports work

Each import job:

  1. Connects to your accounting software using your stored credentials
  2. Fetches GL transactions, accounts, and analytical axes since the last successful import
  3. Upserts the data into Monitr's database (existing data is updated, new data is added)
  4. Regenerates report-ready data
  5. Updates the import status to Succeeded or Failed

Imports are incremental — only changes since the last successful run are fetched. A full historical sync happens only on the first import or after a manual reset.

Scheduled imports

Monitr runs automatic imports twice per night at approximately 00:00 and 05:00 Brussels time. This means your financial data is typically refreshed overnight, and reports are usually up-to-date with the previous day's transactions when you arrive in the morning.

Scheduled imports only run for organisations with active or trialing subscriptions.

Triggering a manual import

To get fresh data immediately:

  1. Navigate to Organisations in the sidebar, then Entities.
  2. Locate the entity you want to update.
  3. Click the Sync now (circular arrow) button at the bottom of the entity card. This button appears when the last import succeeded or failed more than 1 hour ago.

The import starts in the background. Status updates appear in real time on the entity card:

  • Waiting… — queued, not yet started
  • In progress — currently running
  • Succeeded — completed successfully
  • Failed — encountered an error

For CSV imports, click the Import CSV (table) button at the bottom of the entity card instead of Sync now.

Import status and history

Each entity card in the Entities overview shows:

  • The most recent import status (Succeeded, Failed, Waiting…, In progress).
  • The timestamp of the last successful import, shown as "Latest current figures" with relative time (e.g., "2 hours ago").
  • If an import failed, the error message is displayed, and you can attempt to sync again after 1 hour.

This helps diagnose integration credential issues, provider outages, or data inconsistencies.

First import after setup

The first import after connecting an integration fetches all historical data — this can take several minutes depending on the volume of transactions. Subsequent imports are fast (seconds to a few minutes).

After changing mappings

Changing account mappings affects reports immediately for any future imports. The next scheduled or manual import will regenerate all report data with the updated mappings applied to both new and historical transactions.

Multi-entity organisations

If your organisation has multiple entities, each entity imports independently. You can monitor all entities from the Entities page, which shows the status of the most recent import for each entity at a glance.
